Job Description:

We are seeking a skilled and motivated HR Admin Executive to join our team. The ideal candidate will be responsible for various HR and administrative tasks to support our organization’s operations. As an HR Admin Executive, you will play a crucial role in recruitment, vendor management, housekeeping management, payroll, attendance management, payment follow-up, and team bonding activities.

Responsibilities:

Recruitment:
● Utilize platforms such as LinkedIn, Naukri, and other job portals to source and attract qualified candidates.
● Screen resumes, conduct initial interviews, and coordinate the interview process.
● Collaborate with hiring managers to understand their requirements and ensure a smooth recruitment process.
● Maintain accurate and up-to-date candidate records in the applicant tracking system.

Vendor Management:
● Identify and onboard reliable vendors for various services, such as office supplies, security, and maintenance.
● Maintain strong relationships with vendors, negotiate contracts, and monitor their performance.
● Handle vendor invoices, ensuring timely payment and resolving any billing discrepancies.

Housekeeping Management:
● Oversee the housekeeping staff and ensure the cleanliness and organization of the office premises.
● Coordinate with the housekeeping agency to schedule cleaning activities and maintain supplies.
● Address any housekeeping-related concerns or issues raised by employees and take appropriate actions.

Payroll and Attendance Management:
● Assist in processing monthly payroll, ensuring accuracy and compliance with company policies and legal requirements.
● Maintain and update employee attendance records, including leaves, absences, and timekeeping.
● Handle attendance tracking systems and address any discrepancies or issues that arise.

Payment Follow-up:
● Coordinate with the finance department to track outstanding payments and follow up with clients or vendors as necessary.
● Maintain records of payment transactions, monitor overdue payments, and take appropriate actions to ensure timely collection.

Team Bonding and Activities:
● Organize and coordinate team-building activities, events, and celebrations to foster a positive work environment.
● Collaborate with cross-functional teams to plan and execute employee engagement initiatives.
● Provide support for employee recognition programs and initiatives

Requirements:

Bachelor’s degree in Human Resources, Business Administration, or a related field.
● Proven experience as an HR Admin Executive or similar role.
● Strong knowledge of recruitment processes and experience in sourcing candidates through online platforms.
● Familiarity with HRIS and applicant tracking systems.
● Excellent organizational and multitasking skills, with attention to detail.
● Proficient in MS Office applications.
● Good understanding of payroll and attendance management systems.
● Strong communication and interpersonal skills.
● Ability to maintain confidentiality and handle sensitive information.
● Team player with a positive attitude and the ability to work independently.
